PRACTICAL BACKUP GUIDE

Three copies. Two different storage types or failure domains. One copy offsite.

The 3-2-1 rule is a useful starting point for protecting business and personal data. This guide explains how a Synology NAS can fit into the plan—and why recovery testing matters as much as backup schedules.

The challenge

A green status light can create false confidence. Backups may be incomplete, credentials unavailable, or every copy vulnerable to the same incident.

What the solution includes

  • Keep the working data plus at least two additional copies
  • Use more than one storage method or failure domain
  • Maintain at least one copy offsite or appropriately isolated
  • Enable snapshots or version history for fast rollback, where supported
  • Protect backup accounts with strong, separate credentials
  • Test restores and document the recovery process

Do not count synchronization as an independent backup. Deletion, corruption, or ransomware changes can propagate to a synchronized destination. Snapshots and version history improve recovery, but they are not separate backup copies unless independently protected and retained.

What 3-2-1 does not guarantee

The 3-2-1 pattern reduces risk, but it does not replace access controls, monitoring, offline or logically isolated copies, retention planning, and regular restore tests. Immutable snapshots require a supported Synology model, compatible DSM version, and the appropriate package and configuration.

Designed around real life and real work

For businesses

Match backup frequency and retention to how long the business can operate without each system and how much recent work it can afford to lose.

For residences and home offices

Prioritize irreplaceable records, photos, creative work, and active client files, then automate the process.

Architect. Deploy. Maintain.

  1. Architect: Learn the requirements, inspect the environment, and define a practical plan.
  2. Deploy: Configure, test, document, and coordinate with minimal disruption.
  3. Maintain: Provide responsive support and thoughtful improvements as needs change.
